SAM entity registration

Also called: entity registration, SAM registration, SAM.gov registration, active registration, registration renewal, entity validation

SAM entity registration is the record a business creates and renews on SAM.gov to be eligible for federal awards: its legal name and address, UEI, CAGE code, banking information, points of contact, NAICS codes, and representations and certifications.

FAR 4.1102 requires an active registration before award, and FAR 4.1201 requires the entity to review and update it at least once a year, so a record expires if it is not renewed. Registration starts with entity validation, in which SAM.gov matches the legal name and address against public records and assigns the Unique Entity ID; the CAGE code is assigned by the Defense Logistics Agency in the same process. The registrant picks a purpose of registration (financial assistance only, or all awards), enters banking details for payment, answers the representations and certifications in FAR 52.204-8 and 52.212-3, and names an entity administrator.

What to check: the expiration date (set a reminder well ahead, since validation can be slow), that the legal name matches IRS and state records exactly, that the NAICS codes and size representations are current, and that the record shows Active rather than Submitted or Work in Progress on the day you bid.

What it is not: a vendor registration on a state portal, which is separate, and not a guarantee of any work.
