  • SAM.gov entity registrations must be renewed every 365 days to stay active.
  • Beyond the core data, representations and certifications, and points of contact that Grace mentioned, you also need to re-validate your Unique Entity Identifier (UEI) and CAGE code information.
  • The system checks for consistency across these identifiers.

My SAM.gov entity registration is set to expire in six weeks and I need to renew it. Last year, the renewal process took almost a month because the legal business name in SAM.gov did not exactly match our IRS record. We had to go back and forth with the Federal Service Desk to get it sorted out. I am trying to avoid that kind of delay this time around.

What are the steps for renewing a SAM.gov registration, and how far in advance should I start the process to avoid a lapse? If there is a lapse during an active federal contract, what are the implications for payment or performance? I am trying to understand the known delays and how to mitigate them.

SAM.gov entity registrations must be renewed every 365 days to stay active. Beyond the core data, representations and certifications, and points of contact that Grace mentioned, you also need to re-validate your Unique Entity Identifier (UEI) and CAGE code information. The system checks for consistency across these identifiers. If you are a small business, you will also need to re-certify your size and socioeconomic statuses. I always recommend starting the renewal process at least two months in advance, especially if your company has experienced issues in the past. If your registration lapses, you cannot be awarded new federal contracts. Payment systems like WAWF and PIEE will also flag expired registrations, which can delay payments on existing contracts.

To renew your SAM.gov entity registration, log in to your account and select "Renew Entity" from your workspace; you should start the process at least two months in advance to avoid a lapse, especially if you encountered issues previously.

The steps involve reviewing and updating all sections of your registration, including core data, assertions, representations and certifications, and points of contact. The system will guide you through each section, highlighting any areas that require attention or updates. Common delays often stem from discrepancies between your SAM.gov information and official records, like your IRS legal business name or CAGE code data. If your registration lapses during an active federal contract, your company will be ineligible for new awards and may experience delays in payments for ongoing contracts because payment systems like WAWF and PIEE often rely on an active SAM.gov registration. To mitigate delays, thoroughly review all your information, especially the legal business name and Unique Entity ID (UEI), before submitting the renewal. A SAM.gov entity registration must be renewed every 365 days to stay active.
