What are the best tools for tracking amendments and Q&A for federal RFPs?

I'm swamped trying to keep up with all the amendments and Q&A responses for multiple federal Request for Proposal solicitations. I'm bidding on several services contracts under NAICS 541611, all small business set-asides. The deadlines are tight, and I keep missing updates because I'm checking each opportunity on SAM.gov manually. I've tried setting up email alerts on SAM.gov, but they often come in late or for unrelated updates, which isn't helping me track specific changes to the solicitations I've downloaded. My current process involves a spreadsheet, but it's not dynamic enough to flag new documents or changes quickly. Are there any specific tools or software that can help manage amendment and Q&A tracking more efficiently for federal RFPs?

There are no specific government-provided software tools for tracking amendments and Q&A documents for federal Request for Proposal solicitations beyond the email alerts available on SAM.gov. Many firms, including mine, use a manual process with spreadsheets, similar to what you describe, to manage these updates.

When a solicitation is issued, it is assigned a solicitation number on SAM.gov. Any amendment and the Q&A period updates, including the contracting officer's responses to questions, are posted under that original solicitation number. You must regularly check the specific solicitation page on SAM.gov for new documents. My firm assigns one person to check each solicitation daily for new postings and update our internal tracking spreadsheet immediately. This is particularly important for federal solicitations, which follow the Federal Acquisition Regulation (FAR) and require offerors to acknowledge all amendments.

For state and local government opportunities, the process is different. Each state, county, or municipality runs its own vendor registration portals and procurement systems, and you would need to check those individual portals for their specific tracking and alert capabilities. Always review the vendor guide for each state procurement portal you use.
